The questions we hear most often
Does my staff have to install an app?
No. Vantote is a website that opens when a phone taps the Vantag. No app store, no accounts, no updates — a cleaner just enters a PIN once per shift.
Will every phone read the Vantag?
Practically every smartphone from recent years: iPhone 7 and newer, and nearly all Androids have NFC built in. Just hold the phone near the Vantag — like a contactless payment.
What if someone on the crew has no smartphone?
One shared phone per shift is enough. The PIN identifies the person, not the device — everyone signs in with their own code and the system knows who did the work.
Can it be cheated — tap the Vantag and walk away?
The scans open and close each cleaning, so the system knows the exact time spent in the room. Unusually short cleanings stand out immediately in the panel and analytics, while the checklist and photos document what was actually done.
What about GDPR and employee data?
We process a minimum of data: name, working times and reports. PINs are stored only as hashes, panel access is role-based, and documentation photos are deleted automatically after about 2 months. We sign a data-processing agreement (DPA) on request.
Do I need internet in every room?
Regular mobile coverage or the property's Wi-Fi is enough — the page is very light and room status lives on the server. If the signal drops while a cleaning is being finished, the ticked checklist and the photos are stored on the phone and send themselves once the network is back — with the time the cleaning actually ended. A “waiting to be sent” bar appears, and you can also retry by hand. To be straight with you: the page has to be open already — scanning a Vantag somewhere with no coverage at all will not work.
Does Vantote replace a hotel PMS?
No, and it doesn't have to. Vantote works standalone and complements a PMS with what it lacks: housekeeping control with proof. Integrations work today: connect Airbnb / Booking.com calendars with an iCal link in 2 minutes, and PMS systems talk to a simple API — a checkout automatically queues the room for cleaning.
What happens after the pilot — do I have to buy?
No. After 2 weeks you decide: move onto the subscription, or we part ways and you send the Vantags back. The pilot needs no card and no commitment.
